Engagement Process
How Laurel Field Consulting scopes, delivers, and hands over operational work with nonprofit and association clients.
From first enquiry to final handover, every engagement follows a clear sequence so boards know what to expect and when to schedule their time.
The five stages
- Initial conversation (30 minutes, no fee)
We listen to your situation — organisation type, staff and volunteer scale, and the operational friction you want addressed. If we are not the right fit, we say so and may suggest another resource.
- Scoped proposal
Within five business days you receive a written proposal: objectives, methodology, deliverables, timeline, fee, and what we need from you (document access, interview list, meeting dates).
- Engagement letter & deposit
Once you accept, we issue an engagement letter and tax invoice for the deposit. Work begins when the deposit clears and document access is arranged.
- Discovery & delivery
Interviews, site visits, facilitation, or drafting — depending on the service. We share draft findings with the executive for factual accuracy before board-facing materials are finalised.
- Handover & optional check-in
Final report, templates, or session notes are delivered with a brief implementation guide. Optional follow-up calls can be booked at hourly rates if you want a checkpoint four to six weeks later.
What we need from you
- A single point of contact with authority to share documents and schedule interviews.
- Access to current policies, recent board minutes, and organograms where they exist.
- Board or committee time for the presentation or facilitated session as scoped.
- Honesty about internal politics — we work confidentially, but surprises slow the work.
Confidentiality
All client materials are stored encrypted and destroyed twelve months after engagement close unless you request earlier deletion or a longer retention for your records.
